Managing your daily agenda
Your calendar is a great way to check the availability of your coworkers or shared resources, and quickly create meetings or tasks. In addition to your calendar, you can also use your agenda to get an overview of your personal meetings and tasks.
Accessing your agenda
Your agenda will specifically display upcoming meetings and uncompleted tasks, so that you can check what needs to be done throughout your day. To open your agenda, click the clock icon at the top right of any system page. A red icon on this clock will display the amount of open tasks and upcoming meetings you have for today. For example, it will display the number three if you have two open tasks due today and an upcoming meeting scheduled for today.
Display options
By default your agenda will display your open tasks and upcoming meetings for Today. You can also check your agenda for Tomorrow or This Month by clicking these options. You’ll then display a list of open tasks and upcoming meetings for the selected time frame. The Overdue option will show you a list of all your tasks which are still open even though their due date has passed. In this way you can check if you’ve missed any tasks and make sure nothing falls through the cracks.
The More option will provide you with additional display options. You can choose to display your upcoming meetings and open tasks for This Week, Next Week, Next Month, or even select a custom date. To select a custom date, first click the calendar item, then select a date and click Save. Your agenda will now display the meetings and tasks of the selected date. In this way you can switch between the different timeframes and check for any meetings and tasks.
Quick access
The agenda lets you quickly access the tasks and meetings displayed within it. By clicking an activity in the agenda, you’ll be brought to the activities page. For example, clicking the “Proposal for Oceanic” meeting will bring you to this meeting record, and clicking the “Call back Barbra” task will bring you to this task record.
You can also choose to open the record which the task or meeting is related to. Under each activity's name, you’ll see gray text with the object the activity is related to and the name of the related record. For example, below the “Call back Barbra” task reads “Account: Barbra Jones”. By clicking this text, you’ll open Barbra Jones’s account page. This text uses the Related To field of the task or meeting. If the Related To field is empty, this text will not be displayed.
Managing tasks
You can use the agenda to manage your tasks by using the quick actions detailed below.
- Completing a task: By clicking the blank box next to a task, you’ll mark the task as completed. This task will then disappear from your agenda, as it’s no longer an open task.
- Delaying a task’s due date: By clicking the time stamp on the right of a task, you’ll open a pop up where you can update its due date. For example, you may realize there’s a task due today which you’ll only be able to get to tomorrow. You can click the time and then click Tomorrow at 10:00 to reset the task’s due date to tomorrow and make sure you don’t forget about it. In addition to the Tomorrow at 10:00 option, you can also choose to delay a task’s due date by a set amount of hours, until next week, or set a custom due date. After setting a new due date, the open task will move and appear in the relevant date section of your agenda.
- Creating a new task: The New button on the far right can be used to create new tasks. By clicking it, you’ll open a new task form where you can set all your task’s details. Once the details have been set, click Save to save your new task. You can also click the arrow next to Save and then click Save & New to save your task and immediately open another new task form where you can create a new task. This is a great way to create multiple tasks in a row. Your new tasks can be found in your agenda as long as they are open tasks and your agenda is displaying the relevant date.
